Inventory Software for Nepal’s Retailers: When Spreadsheets Stop Working

Plan stock tracking around product codes, returns, transfers and physical counts before choosing inventory software for your retail business.

The spreadsheet says five items are available. The shelf holds three, and a colleague has already promised one to a customer. Before buying inventory software, find out why those numbers disagree.

For a retailer in Nepal, better stock control starts with consistent records and responsibilities. Software can support that discipline, but it cannot replace it.

Give every sellable variation a clear identity

Use a stable product code for each variation that needs separate tracking. A blue medium shirt and a blue large shirt should not be indistinguishable in the stock record.

Agree units too. If you purchase cartons and sell individual pieces, define the conversion. Record damaged, returned and reserved items separately from stock that is ready to sell.

Map how stock moves

List purchases, receipts, sales, returns, transfers and adjustments. Decide who records each movement and when.

If your business has a shop and a separate storage location, test transfers between them. Ask what happens when a customer reserves an item but has not completed the purchase. A useful system should reflect these everyday situations without improvised notes.

Count before you migrate

Clean the product list and carry out an opening physical count. Keep a dated record of who checked it. Import a small sample first and reconcile quantities before moving the full catalogue.

Avoid bringing years of duplicate names into a new system. Retain historical information where needed, but agree how it will be accessed and which records become the active starting point.

Test the awkward cases

Use a demonstration to process a partial return, a damaged item and a stock adjustment. Ask how mistakes are corrected and whether the system records who made the change.

Check user permissions, usable exports, backups and any offline behaviour you require. If invoicing or accounting integration is included, have your accountant confirm the required fields and current compliance needs; inventory tracking alone does not establish tax compliance.

Start with reports that lead to action

Low-stock items, slow-moving stock and unexplained adjustments are useful starting points. Assign someone to review them and agree what happens next.
