A customer asks for a quotation on Monday. Someone records it in a spreadsheet, another colleague replies by email, and by Thursday nobody is sure who should follow up.
The spreadsheet is not necessarily the problem. The missing owner and next action are. Buying a CRM before fixing that process can leave a Qatar business with the same confusion in a more expensive system.
Look for repeated friction
A shared sheet can work well for a small team with a modest enquiry volume. Consider a CRM when people repeatedly overwrite records, lose conversation history, miss follow-ups or struggle to see which quotations are still active.
For one week, record these incidents. How often do they happen? What work is repeated? Use that evidence to define what the new system must improve.
Agree on a simple pipeline
Start with stages your team actually understands: new enquiry, qualified, quotation sent, awaiting decision, won and closed. Define what moves a record between stages.
Every active opportunity should have an owner and a dated next action. Capture only fields that help someone act: organisation, contact details, requested service, source, stage and relevant notes. Avoid collecting sensitive information simply because there is a field available.
Test a normal working day
Use fictional enquiries to test the shortlist. Can a colleague find the latest conversation, reassign an enquiry during leave, schedule a follow-up and identify overdue work without asking an administrator?
For a Doha team working in more than one language, test the actual names and notes you expect to store. Check mobile access, permissions, exports and how the system handles duplicates.
Move clean records, not every old mistake
Remove duplicate contacts and agree which historic records are still useful. Back up the original sheet before importing anything. Run a small trial import, check the results and document how to reverse it.
Compare the full cost: subscriptions, setup, migration, integrations, training and ongoing support. Confirm that you can export usable data if you later change suppliers.
A sensible first milestone
Aim to make ownership and follow-ups visible before adding complex automation. After a few weeks, review missed actions and adoption with the people doing the work.
